Thank you messages to send after a job

Send a short, personal thank you within a few hours of finishing the job. Use their name, mention one detail of the work, and tell them how to reach you if anything is not right. Keep the review request or offer for a separate message a day or two later, so the thank you feels like a thank you. Copy-and-paste wording for text and email is below.

Why a thank you message is worth sending

Very few small businesses send one, so the ones that do are remembered. It also opens the door for the customer to mention a problem privately while it is small, and it makes the next message, asking for a review or a referral, feel natural rather than cold.

Same day, after the job

"Hi Sarah, thanks for having us today. The new boiler is all set up, and the paperwork is in the kitchen drawer. If anything does not seem right over the next few days, text me on this number. Mike"

After a quote visit you have not won yet

"Hi Tom, thanks for showing me round this morning. Your quote will be with you by Thursday. Any questions before then, just reply here."

After a first visit

"Hi Amy, thank you for coming in today, it was lovely to meet you. I hope you love the colour. If anything feels off once you have washed it, message me and we will sort it. Jess"

After a treatment

"Hi Mr Singh, thanks for coming in this afternoon. As we discussed, avoid heavy exercise for 48 hours. If you have any questions at all, reply here and I will get back to you today."

Email for bigger jobs and projects

Subject: Thank you, and your job summary

"Hello David,

Thank you for choosing us for the extension. It has been a pleasure working on it, and the team really enjoyed the project.

When to send it

Within a few hours of finishing, while the job is fresh. A day or two later, send a separate short message asking for a review, using the wording in review request templates. A few weeks after that is the natural moment to ask for a referral. Three small messages, each doing one job, beat one long message trying to do all three.

Should I send a thank you message after every job?

Yes, if you can make it personal. A short message with the customer's name and one detail about the job takes a minute and is remembered far longer than the job itself.

Should I ask for a review in the thank you message?

It is better to wait a day or two and ask separately. A thank you with a request attached reads as a request. Two short messages feel more genuine than one.

Text or email for a thank you?

Text for most small jobs and appointments, because it is read quickly and feels personal. Email for bigger projects where you are also sending paperwork, guarantees or a summary.
