Insightly alternatives: what to look at if Insightly is not the right fit

What Insightly actually costs
Checked on Insightly's own pricing page on 13 August 2026: Plus is 29 dollars per user per month, Professional is 49 dollars per user per month, and Enterprise is 99 dollars per user per month, all billed annually and all priced in dollars. A 14 day free trial is offered and no free plan is advertised. Marketing and support and ticketing are sold as separate products, so the CRM price is rarely the whole bill.
Prices change and the quote you are given may not match the advertised one. Check the live page and get your renewal price in writing before you compare anything.
Where Insightly is genuinely strong
- Projects after the sale. Turning a won deal into a project with tasks and milestones is a real strength, and most rivals skip it
- Teams who sell together, because per-user seats, shared pipelines and email visibility are built for that
- Reporting and dashboards you can shape around your own process
- A 14 day trial with no card required, so you can test it properly before paying
If you run projects after the sale and have several people selling, Insightly is a sensible tool and swapping it out would be a step backwards. The rest of this page is for owners where that is not the shape of the business.
The five realistic alternatives

We have quoted Insightly's numbers because we checked them today. We have deliberately not quoted the others, because their pricing pages move and a stale figure is worse than none. Check each live page yourself, and compare on total cost for your real headcount rather than the headline seat price.
A four-person letting agency was on a per-user CRM at roughly 49 dollars a seat, so nearly 200 dollars a month, and had added a separate email marketing tool on top. When they counted where enquiries were actually lost, it was not the pipeline. It was 30 or so calls a month that rang out during viewings, and quotes that went quiet with nobody chasing them. Neither of those was a CRM problem, and no amount of extra seats fixed them.
Which of these is costing you money this month?
- You are paying for seats that people log into once a fortnight
- The CRM price turned out to be the start of the bill, not the end of it
- Enquiries arrive out of hours and get answered the next afternoon
- Quotes go out and nobody chases them
- Won work turns into a project with tasks, deadlines and handovers
The first two are pricing problems, so compare structures. The middle two are follow-up problems, so look at a follow-up tool. The last one is genuinely Insightly's strength, so think twice before you move.

- Price it for the headcount you will have in a year, not the one you have today, because per-user pricing charges you for growing
- Ask what the total is with marketing, messaging and support included, since those are often separate line items
- Ask how you export your contacts, notes and email history, and get the answer in writing before you sign
- Count the tools you would cancel. If the answer is none, the cheaper option is not actually cheaper
- Trial one option properly for two weeks rather than three options badly
