How to stop double bookings
Double bookings almost never come from carelessness. They come from having more than one place a booking can be made and no single diary that all of them write to. Pick one calendar, make every route to a booking write to it in real time, and block out the time you are not available before somebody else does. That closes it.
The four places they creep in
- A slot taken on the phone while the online page still shows it as free
- Two people booking the same slot within seconds of each other online
- A booking written in a paper diary that nothing else can see
- Personal commitments that live in a different calendar, so the booking page happily sells that time
The fourth is the one owners forget, and it is the most annoying, because the customer did nothing wrong and neither did you. The system simply did not know you were somewhere else.
Step one, decide which diary is the real one
There can only be one. Everything else is a view of it. If the paper diary on the counter and the calendar on your phone disagree, you do not have a booking system, you have two opinions. Pick the digital one, because that is the only one a booking page can read.
Step two, make every route write to it
- Online bookings write to it the moment the customer confirms, not overnight
- Phone bookings get entered while the customer is still on the call, not later
- Walk in bookings go in at the counter, before the next customer is served
- Anyone on the team who can take a booking can see and edit the same diary
The rule that makes this stick is simple: if it is not in the diary, it did not happen. Say it out loud to the team once and it saves a year of arguments.
Step three, block time before it gets sold
Put these in as appointments, not as good intentions
- Travel between jobs, with a realistic gap rather than a hopeful one
- Lunch, so the booking page stops selling it
- Admin and quoting time at the end of the day
- School runs, holidays and anything already promised to someone else
- Buffer either side of longer jobs that regularly overrun

Two people can genuinely start booking the same slot at once. A proper booking system holds the slot the moment the first person reaches the confirmation step and releases it if they abandon, so the second person never sees it as free. If your current setup only removes the slot after payment clears, that gap is where your double bookings live.
What to do when one slips through anyway
- Ring, do not text. A double booking is a phone call
- Apologise once, briefly, then move straight to the fix
- Offer two specific alternative times rather than asking when suits
- Give the inconvenienced customer something real if you can, and say what you have changed so it does not happen again
"Hi {name}, it is {your name} from {business}. I am really sorry, we have got your {time} slot down twice and that is our mistake. I can do {option one} or {option two}, whichever is easier for you. And I have put something in place so it does not happen again."

Can I stop double bookings without any software?
Yes, if one person takes every booking and writes it in one diary. The moment a second person can take a booking, or a booking page can be used while you are on a job, you need something that all of them write to at once.
Why do double bookings happen more when we get busier?
Because the gap between taking a booking and writing it down gets longer. On a quiet day it is seconds. On a busy day it is until you next sit down, and that is plenty of time for the same slot to be sold again.
Should I keep a paper diary as a backup?
Keep it if you like it, but treat it as a copy, never as the original. Two diaries that both count is the cause of the problem, not a safety net for it.
How much buffer should I leave between appointments?
Enough that a normal overrun does not eat the next slot. Look at the last month honestly, take the time the longer jobs actually took rather than the time you booked, and build the gap from that.
What about team members who take bookings on their own phones?
They need access to the same calendar rather than their own version of it. A booking that lives only on one person's phone is invisible to everyone else, which is the paper diary problem with a screen.
